How DSR uses your information.

Dorset Smartphone Repairs only collects and uses personal information that is reasonably needed to respond to enquiries, arrange and carry out repairs, provide customer support, maintain business records and understand how the website is used.

DSR does not sell customer information and does not use repair customer details for email, SMS or telephone marketing.

Who is responsible for your information

Dorset Smartphone Repairs (DSR) is operated by Steven Lanes, trading as Dorset Smartphone Repairs, as a sole trader in the United Kingdom. DSR is responsible for deciding how personal information covered by this policy is used.

The public website is separate

The public DSR website is a standalone informational website. It does not directly create customer records, repair jobs, quotes or customer portal accounts; store repair enquiries in a DSR backend; or process repair payments.

Website enquiry tools prepare a message in the visitor's chosen WhatsApp, email or SMS app. The visitor decides whether to send it. Telephone contact also takes place outside the website.

The public DSR website is separate from DSR's repair-management system and customer portal. Contacting DSR through WhatsApp, email, SMS or telephone may result in relevant information being recorded within DSR's repair-management system where needed to deal with an enquiry or repair.

Where information comes from

Most information comes directly from the customer when they contact DSR or arrange a repair. Relevant information may also come from an authorised representative, a payment provider, a delivery provider, a parts supplier or an approved repair specialist where this is needed for the enquiry, repair, payment, delivery or warranty matter.

Only what the work reasonably needs.

Customer and repair information

Depending on the enquiry or repair, DSR may hold:

  • the customer's name, telephone number and email address where supplied
  • a collection, return or postal address where required
  • the device make and model
  • the reported fault or symptoms
  • repair details, job notes and repair history
  • quote and approval information
  • warranty information
  • repair or device photographs
  • correspondence relating to the enquiry or repair
  • invoice and transaction records required for business and accounting purposes

Addresses

DSR collects an address only where it is reasonably required for local collection, return or drop-off, postal repairs, or courier and carrier arrangements. An address is not required from every customer.

Information DSR does not routinely request

DSR does not routinely collect dates of birth, government identification, demographic or marketing profiles, customer banking credentials, card numbers or card security codes for repair administration.

To answer, arrange and support the repair.

Contact and customer support

DSR may use supplied contact details to respond to enquiries, provide quotes, arrange appointments, discuss parts, provide repair updates, request approval for additional work, arrange collection or return, provide invoices or warranty information, and respond to repair or warranty questions.

Customer email addresses and telephone numbers are not used by DSR for promotional marketing. DSR does not currently operate customer marketing mailing lists, promotional email campaigns or promotional SMS campaigns using repair customer information.

Device and repair information

Device information is used to identify the device, assess the reported problem, prepare a quote, order suitable parts, carry out and test the repair, maintain an appropriate repair history and deal with warranty matters.

Why DSR is allowed to use it

Depending on the situation, DSR uses personal information where it is necessary to take steps requested by a customer before a repair or service is agreed, perform an agreed repair or service, meet legal and accounting obligations, or support legitimate business interests such as maintaining repair records, handling warranty claims, keeping systems secure and resolving disputes.

Where consent is required for an optional purpose, such as non-essential website analytics or marketing tracking, it is requested separately. Agreeing to DSR's Repair Terms does not amount to consent for every use of personal information.

A practical record of the work.

Repair photographs

DSR may take or retain photographs of a device's condition, damaged components, repair areas, internal condition, diagnostic findings or completed work. These photographs may be attached to the relevant repair or job record.

They may be used to document pre-existing condition, support diagnosis and repair records, deal with supplier or warranty claims, or resolve later questions or disputes. Repair photographs are not automatically treated as marketing content and will not be published on the website or social media without separate appropriate permission.

Device access and passcodes

DSR may need temporary access to a device for testing, calibration, fault confirmation or checking the completed repair. This does not mean DSR needs access to the customer's personal information.

Passcodes are not stored as part of the repair record. Where supported, repair or maintenance mode may be used. Customers should not send passwords, account credentials or unnecessary confidential information through website enquiry methods.

Payment records, without payment credentials.

What DSR records

DSR may retain the amount paid, payment date, payment method and relevant transaction or reference information where present. This information is used to confirm payment, maintain invoice and bookkeeping records, meet accounting and HMRC or tax-reporting requirements, and resolve payment queries.

What DSR does not store

DSR does not store debit or credit card numbers, card security codes, online banking login credentials or customer bank-account login information.

Where payment is made through a bank, card processor, PayPal or another payment provider, that provider processes the underlying payment information under its own privacy arrangements.

Separate from the public website.

Repair administration

DSR uses a separate repair-management system for customer and repair administration. Depending on the work, it may hold customer contact details, device details, repair records, quotes, job status, repair notes, repair photographs, invoices, payment-status information, warranty records and relevant customer communications.

Customer portal

Where DSR provides access to a customer portal, information shown there relates to the customer's own enquiry, repair, invoice or warranty record.

The separate system is used for customer and repair records rather than exposing that information through the public website. The public website does not have a direct public connection to those records.

Choice over optional tracking.

Website analytics and marketing measurement

The website uses Google Analytics and Meta Pixel to help DSR understand website use, improve page structure, navigation, content and user experience, and measure advertising performance where applicable.

These are non-essential technologies and should operate only after the visitor has made the relevant choice through the site's cookie controls. Optional analytics and marketing technologies are controlled through the site's cookie preferences. Visitors can accept or reject non-essential tracking and change or withdraw their choices at any time.

Cookie categories

Necessary technologies support core website functions and remember privacy or cookie choices where applicable. Analytics covers Google Analytics. Marketing covers Meta Pixel. Read the Cookie Policy for more information or use Cookie Settings in the footer to change your choices.

External services and links

When a visitor chooses to use WhatsApp, email, telephone, SMS, a payment service, a bank, a postal or courier provider, or an external website, that organisation processes information under its own privacy terms. Google and Meta also apply their own terms where their services are enabled.

DSR is not responsible for the privacy practices of unrelated third-party websites.

Limited to what is reasonably necessary.

Who information may be shared with

DSR does not sell personal information. Limited information may be shared where reasonably necessary with:

  • parts suppliers to resolve a specific parts or warranty matter
  • approved specialist repair providers where the customer has approved specialist work
  • postal or courier providers where required for delivery
  • payment providers and banks
  • professional advisers or accountants where required
  • public authorities where DSR is legally required to provide it

DSR limits sharing to the information reasonably needed for the particular purpose.

Specialist repair work

Where a customer approves specialist work, DSR may provide the specialist with limited relevant device information, fault details and repair requirements. Personal or customer details are shared only where necessary; DSR does not routinely send the whole customer record.

How long information is kept

Customer and repair records may be retained where reasonably necessary for repair history, warranty handling, accounting and tax records, legal obligations, resolving complaints or disputes, and legitimate business record keeping.

Financial and accounting records may be retained for the period required by applicable law and HMRC requirements. Information that is no longer required is deleted or securely disposed of when appropriate.

Reasonable protection and clear choices.

Keeping information secure

DSR takes reasonable technical and organisational measures to protect personal information. No system can promise absolute security, but customer and repair records are kept in the separate repair-management system rather than being exposed through the public website.

Your data-protection rights

Depending on the circumstances and applicable UK data-protection law, a person may have rights to access their personal information, correct inaccurate information, request deletion or restriction, object to certain uses, receive portable information where applicable, and withdraw consent where a use is based on consent.

Not every right applies in every circumstance. DSR may need to retain some records despite a deletion request where this is required for legal, accounting or tax obligations, or for establishing, exercising or defending legal claims.

Children

DSR provides general device-repair services and the website is not designed to collect children's personal information. Where a repair involves a device used by a child, the customer relationship should normally be managed through the adult arranging the repair where appropriate.

Changes to this policy

DSR may update this policy as its systems, services or legal requirements change. The effective date at the top of the page shows the current version.
